Switching From a Paper Bill Book to Browser Billing
A safe, low-risk migration that avoids losing customer and sales history.
Keep the first migration small
Do not throw away your existing records. Pick a low-traffic period and enter your most common products in the new system. Run a controlled parallel check for a day or shift.
Before switching
- List key records you must preserve: old invoices, customer dues, stock opening balances, tax IDs and past supplier purchases.
- Create clean product names; use distinct units for packets, pieces and loose-weight items.
- Check the new invoice number format and printer output against your process.
- Reconcile opening stock and customer debt before billing live customers.
- Test a refund/cancellation process if your business needs one; do not assume every workflow is available.
- Assign one person to daily exports and confirm where files are saved.
Go-live acceptance
Compare five real transaction examples with the old process: cash sale, UPI sale, taxable bill, Udhaar part payment and a mixed basket. If any calculation differs, investigate before retiring the old process.
