DAILY CLOSING ROUTINE

Daily Billing Closing Checklist for a Small Shop

A repeatable end-of-day method to reconcile cash, UPI, Udhaar and exports.

Run this seven-step closing routine

  1. Stop creating new bills temporarily and confirm there are no unfinished customer transactions.
  2. Note the opening cash balance and cash physically received during the shift.
  3. Compare cash bills plus cash repayments against cash refunds, expenses and cash withdrawals.
  4. Match UPI or card bills to confirmations from the actual payment provider rather than relying only on a marked payment method.
  5. Review Udhaar sales, part payments and repayments, and resolve any customer balances that look wrong.
  6. Review pending QR/table orders separately; an accepted order is not necessarily a completed bill.
  7. Download bill, inventory and account exports, store copies outside the browser and sign off the difference log.

Example closing reconciliation

Opening drawer ₹1,000 + cash sales ₹2,500 + cash repayments ₹300 − cash expenses ₹450 = expected closing cash ₹3,350. If counted cash is ₹3,320, record a ₹30 shortage and investigate before editing past invoices.

What to save

Keep your date, operator, bill count, expected cash, counted cash, UPI confirmations, outstanding Udhaar and export filename together in a closing note. Local-only bill records are vulnerable to storage resets; see the backup guide.
