UPI Billing & Payment Reconciliation for Indian Shops
How to avoid treating a displayed UPI QR as proof of payment.
QR displayed does not mean payment received
A UPI QR can tell a customer where to pay, but it cannot by itself confirm the money has arrived. Verify the success status using the payment provider, bank or merchant app before treating an order as paid.
Counter workflow
- Finish the basket and read the invoice amount aloud.
- Display the store’s UPI QR or the checkout UPI information.
- Wait for an authentic merchant payment confirmation, and check the amount and receiving account.
- Mark the bill as UPI only after payment is verified; avoid relying solely on a customer's screenshot.
- During closing, reconcile marked UPI bills against the payment account statement.
Example exception log
| Bill | Amount | Bill marked | Provider record | Action |
|---|---|---|---|---|
| 105 | ₹420 | UPI | ₹420 confirmed | Match |
| 106 | ₹185 | UPI | Not found | Investigate before closing |
Never store a payer's full payment credentials in a customer note. You can keep a minimal reference permitted by your payment provider and your business policies.
